Quotations are hereby invited for the following: Consultancy services required European Professional Club Rugby, site visit: 01-02 November 2023. Specifications: The City of Cape Town is looking to appoint a service provider to facilitate the following aspects relating to this request, including but not limited to: - Organizing and managing the site visit to the DHL Stadium; - Identify and co-ordinate site visits to various 4-and 5-star hotels for teams, officials and VVIPs; - Pin-point potential fan park locations, delving into past fan park experiences and the logistical intricacies associated with fan park activations; - Explore and showcase proposed venues for side events; - Highlight Cape Town’s rugby legacy projects across the City; - Identify suitable team training facilities; - Accompany the EPCR team to the various sites during their Cape Town stay; - Accommodate any special requests from the EPCR relating to the site visit requirements. The successful service provider must be well-versed in promoting all aspects of Cape Town and must also possess in-depth knowledge of/experience with: - Previous major international rugby events hosted in Cape Town; - Rugby event services at an international scale; - Engagements with hotels, stadia, potential sites to ensure a smooth delivery of services to the EPCR; - The rugby culture in Cape Town and South Africa; - Familiarity of rugby legacy programmes and opportunities; - Event bidding, management and site visit requirements for international federations. The bidders to include a proposal indicating the following: - The supplier’s experience in event bidding and site visit planning and execution; - A draft itinerary for 1 – 2 November 2023, specifying: - All areas within the DHL Stadium that must be showcased to the EPCR; - The proposed fan park sites to be showcased; - The proposed hotels for teams, officials and VVIPs; - Proposed venues for side events (pre and post the Destination Final); - Possible outdoor spaces for outdoor marketing to be showcased.
